Guest Rental Agreement for All Rental Properties

Reservations

When you book your reservation, the exact unit you rented will be assigned and blocked for your dates. No unit is completely guaranteed indefinitely as North Georgia Vacation Rentals LLC does reserve the right to change unit assignments under extreme or otherwise warranted circumstances, such as, but not limited to, previous hurricane or other weather and water damage as to make the unit uninhabitable or an owner of a property canceling their unit’s participation in the rental program. These are extremely rare but must be considered, and we will do our best to provide a similar unit or give you a refund without penalty if the unit you rented becomes unavailable.

Keys

If any house keys or garage door openers are lost or not returned at check-out, a minimum fee of $100 per missing item will apply, depending on the unit and type of item lost.

Advance Rental Payment

A payment of 30% of the total reservation is required to secure your reservation dates and must be received immediately if you are booking online. If you have booked online and we do not receive a payment within 24 hours, your reservation may be canceled. If the booking channel you used has given you permission to pay via check, then you will have 7 days to get the check to us or your reservation may be canceled. You may not pay by check if your trip begins in less than 30 days. Advance rental payments will be applied to your rental balance. We do not hold properties without payment, and all rentals are rented on a first-come, first-served basis as it relates to payments.

Rates

Rates are subject to change without notice. The rates you agree to at the time of booking, including any specials, is exactly what you will be charged. If rates go up or down in the future, your reservation will not be changed. Future specials not available at time of booking cannot be applied to your rental after you book.

Rental Payment

A 30% non-refundable payment is due upon booking, and the remaining 70% is due 60 days before the day of check-in. Reservations made less than 60 days before arrival must be paid in full immediately to be secured. Check or credit card will be accepted as payment. If you elect to pay by credit card, your final payment will be charged automatically 60 days before your reservation date. If you elect to pay by check, you must notify us when you book the reservation, and the check must arrive by the due date, which is 60 days before your reservation date. If your final payment check is more than 5 days late, we reserve the right to cancel your reservation without a refund.

Cancellation of Reservation

If you must cancel your reservation for any reason, you will forfeit the 30% advance payment. If you cancel your reservation less than 60 days before your trip, you will lose the full rental amount paid. No exceptions. Once you have booked your dates, they will be locked in. We cannot accommodate date changes or reduce your length of stay. You can purchase Travel Insurance to cover unforeseen difficulties.

Travel Insurance

Vacation Rental Insurance has been made available with your reservation. Vacation Rental Insurance provides coverage for the loss of prepaid, non-refundable expenses due to certain unforeseeable circumstances that may jeopardize your vacation investment and force you to incur unplanned expenses. Trip Cancellation and Trip Interruption coverage is available for events such as a sickness or injury of yourself, family member or traveling companion; flight delays due to adverse weather; interruptions of road service; terrorist acts; and mandatory evacuations. The plan also includes other valuable coverages such as Medical and Dental, Baggage, and Emergency Assistance and Transportation in addition to useful services such as identity theft, concierge and 24/7/365 emergency assistance. We strongly recommend you purchase this valuable protection. Damages

Each reservation at our listings is charged a non-refundable $27-37 fee for a Damage Protection Waiver (DPW). The DPW is designed to protect you from charges up to $500-$750 for accidental damages beyond normal wear and tear. If any damages surpass $500-$750 additional charges will be applied to the credit card on file, and notification will be sent to the guest. If damages are determined to be caused by willful misconduct, misuse, or pets, the DPW will be voided on the grounds of intentional acts, gross negligence, or willful conduct by the guest. These occurrences will result in the guest being charged in full for any damages and fees. The DPW does not cover any additional fees or fines. All accidental damages must be reported to North Georgia Vacation Rentals before checkout in order to qualify for protection.

We require a valid credit card to be on file to cover any losses or damages that may occur during your stay. Your credit card may be charged without your prior notification if we find damages that weren’t present when you arrived and you didn’t report before you departed, although we will make every effort to contact you prior to charging your card. If extra cleaning or repairs are required because of your stay, we reserve the right to apply the full amount of those costs to your credit card, plus all applicable taxes and fees and any costs as quoted and attested to by a third party contractor in addition to the total rental amount plus taxes/fees that you originally paid, in order to offset the additional incurred expenses as a result of your stay. North Georgia Vacation Rentals LLC staff may enter the property at any time during your stay when a complaint has been filed. Renters will be completely responsible for any and all damage to the home or property caused by Renters, whether accidental or due to the renter’s negligence. This includes all furnishings and items provided. We also offer additional damage protection through our elective $55 Vacation Rental Damage Protection plan as outlined below..

Damage Insurance

As a part of your stay, you may purchase a Vacation Rental Damage Protection plan designed to cover unintentional damages to the rental unit interior that occur during your stay provided they are disclosed to management prior to check-out. If purchased, the policy will pay a maximum benefit of $3,000. Any damages that exceed $3,000 or are not covered under the plan will be charged to the credit card on file. If, during your stay at one of our rental properties, an insured person causes any damage to real or personal property of the unit as a result of inadvertent acts or omissions, the Insurer will reimburse the Insured for the cost of repair or replacement of such property up to a maximum benefit of $3,000. The Vacation Rental Damage Protection can be purchased up to, and including at, check-in. By submitting payment for this plan, you authorize and request Customized Services Administrators, Inc. d/b/a Generali Global Assistance & Insurance Services to pay directly North Georgia Vacation Rentals LLC any amount payable under the terms and conditions of the Vacation Rental Damage. Please contact North Georgia Vacation Rentals LLC directly if you do not wish to participate in this assignment.

Credit Card Authorization

Your card is on file upon your first payment. If you paid by check we still must have a credit card on file for your reservation or you will not receive your check-in instructions. If you want a card charged other than the card on file for your final balance, you must notify us via email or phone before the final balance is due. Your card will be charged automatically for the final balance due. You must also affirm the following statement about credit card authorization:

“I understand and consent to the use of the credit card provided without original signature on the charge slip, that an email of this agreement will serve as an original, and that this Credit Card Authorization cannot be revoked and will not terminate until 90 days after the rental is vacated. Additional charges may include: excessive cleaning fees; damages beyond normal wear and tear, and unreturned keys. If the listed card is declined, expired, or otherwise, I agree to allow North Georgia Vacation Rentals LLC to charge a card that was used to make any rental payment for my reservation. When my final payment is due, 60 days before my reservation, my credit card will be charged automatically for the balance due.”

Check-in/Checkout

Check-in will be no earlier than 4:00 p.m. unless prior consent is granted. We do allow early check-in for an hourly fee when it is possible. Checkout will be no later than 10:00 a.m. This turnover time is to facilitate the cleaning of the units. Due to our high standards for cleanliness, all units may not be ready for check-in at 4:00 p.m., but will always be ready by 5:00 p.m.. This is extremely rare but we ask for your patience and suggest that you have alternative plans available between 4:00 and 5:00 p.m. if this does happen.

Late-night Arrivals

Please be considerate of your neighbors if making a late-night arrival. Please ensure you have all necessary directions, door codes, and/or security gate combinations. If you have trouble with the codes, we can help you locate a spare key hidden at the property to get you in your unit.

Housekeeping

You will be responsible for maintaining your unit during your stay and for leaving the unit in good condition at checkout. A separate cleaning fee will be included when you book. This is a one-time linen/towel setup and cleaning service only at the time of departure. We request that you remember you are staying in someone’s home during your vacation; please treat it with care as you would your own. If the unit is left unusually messy (extra unusual cleaning, unwashed dishes, food or garbage left in the unit) or left damaged (damages/stains on carpet or furniture or to walls and floors), we reserve the right to apply credit card charges as part of our damage deposit policy for these expenses. Trash must be bagged and placed in cans or dumpsters.

Additional Housekeeping/Groundskeeping

The Manager takes great pride in the maintenance of our homes. If any garbage is found on the lawn or around the exterior of one of our homes (this includes cigarette butts and bottle caps), the guest will be assessed a minimum $50 charge to cover the cost of the Manager hiring a maintenance crew for cleanup. This will also apply to balconies or the exteriors of condominiums.

Maintenance Issues

During your stay, promptly report any maintenance problems to North Georgia Vacation Rentals LLC. Please do not leave doors or windows open while the A/C or heaters are operating. North Georgia Vacation Rentals LLC staff may enter the property to respond to any maintenance and/or housekeeping issues during your stay. No refund or rate adjustment will be made for unforeseen failures with utility companies which is outside of the Manager’s control.

Linens/Towels/Supplies

Units are fully equipped. Although linens are provided, please bring your own pool towels (where applicable), and your own personal toiletries. An initial setup of trash liners, paper towels, toilet paper, and amenity soap is provided upon arrival. Extra supplies needed (including cleaning supplies) are the responsibility of the guest. Upon departure, please place all soiled linens in the tub for house cleaning, place all dirty dishes in the dishwasher and run the dishwasher. If your unit does not have a dishwasher, please wash dishes by hand. If you leave the unit in an unusually messy condition, you will be charged an extra cleaning fee outside the normal prepaid cleaning. Moving any items or furnishings from one room to another is not permitted and a fee of $50 or more may be charged if we have to rearrange the house.

Smoking & Pets

All units are non-smoking units and absolutely no pets are allowed without approval and pet fee. No exceptions. Guests found in violation of this agreement will be asked to leave and full stay rent charge will be due including deposit amount without refund. Smoking in the units will also result in a minimum $250 charge for ozone cleaning of the unit. Pets if brought to the property without consent and pet fee being paid will incur an additional fine of $150 or more on top of the pet fees for the number of pets brought.

Safety

Guests choose to use all amenities on the property at their own risk. This includes, but is not limited to, hot tub, playground, swings, pool, creek, and sports equipment. Minors are not to be allowed to use amenities unsupervised and without parental consent. If anything on the property is noticed to be unsafe, the guest agrees to contact management immediately and refrain from using that amenity until it is made safe.

Family Rental Only

No units will be rented to anyone under the age of 18 unaccompanied by a responsible parent or guardian in the unit for the entire stay. Any reservation made under false pretense may be subject to forfeiture of advance rental payment/rental payments or security deposit.

Good Neighbor Policy

Many of our rentals are located in neighborhoods that include short and long-term guests and year-round residents. All guests and owners are subject to conform to the rules and regulations of the properties. Guests causing excessive noise or disturbances, including, but not limited to, underage drinking, partying, drug use, and exceeding max occupancy, will be asked to check out immediately and a full stay rent charge will be due including deposit amount with no refunds. No music will be played outside after 10:00 p.m., and no loud parties are permitted at all. Noise will be kept within reasonable levels at all times, including during the day. Parking is limited to one car per bedroom unless stated otherwise (sometimes more parking is available; please request more information). If you are bringing a boat/watercraft or RV, you must verify that there is appropriate parking on site before arriving.

In Case of Emergency

Please call the Manager listed in your check-in book for any maintenance and urgent needs. Your call will be returned as soon as possible if not answered. In the event you are locked out of your unit after business hours, follow emergency procedures after calling the number listed in your check-in book. An agent will return your call and meet you at the unit. A minimum charge of $75 for unlocking the unit will apply and must be paid at time of event.

Guest Acknowledgement

Guest acknowledges these house rules in full and accepts all terms upon receipt of this agreement as of reservation or check-in. Guest also acknowledges that North Georgia Vacation Rentals LLC is the Agent of the Property Owner. The Agent will not be held responsible for acts of theft, vandalism, or other damages to the guest’s personal property or items left in the unit. Guest also agrees to the following statement:

“I understand that if I and/or my guests fail to comply with this Agreement or any of the Rental Policies, as determined by the sole discretion of Manager, we are subject to immediate eviction from the Property without any refund of rental fees and liability for additional charges for damages incurred, as determined by the sole discretion of Manager.”

Frequently Asked Questions

  1. Do I need to bring sheets and towels?
    No, you only need to bring your pool towels if your unit has a pool. We provide all standard linens.
  2. Are there dishes/pots & pans in the kitchen? What about coffee pots?
    Yes, our kitchens are all fully stocked, and we have both a Keurig and a regular coffee pot in every unit. Ground coffee is provided as a courtesy; K-cups are not.
  3. Will my vacation rental have soap, toilet paper, paper towels, etc.?
    We provide an initial set of paper towels, toilet paper, dish soap, dishwasher detergent, and bar soap. The supplies we provide likely will not be enough to last you throughout your stay, depending on your length of stay and usage. You’ll also have to provide any personal toiletry items.
  4. What if I leave an item behind?
    We will mail any item back to you, for a minimum fee of $30 plus the cost of shipping. Please check your unit before you leave.
  5. Do I need to bring a hair dryer?
    No, our units supply our guests with hairdryers.
  6. Do I have to go to your office to check in?
    No, once you have booked you can expect to receive your welcome email which will include the address to your unit and check-in instructions containing check-in info and door codes.
  7. Do I need to check in during a specific time frame? What if I arrive late?
    We prefer that you check in between 4:00 p.m. and 6:00 p.m. to ensure that someone is on hand to help if you need something when you arrive. You are welcome to come late if you choose, but please understand you will only have access to our emergency service phone line (706-973-2900) and there may be delays in response, or your requests could be answered the next day if they are non-emergency. Door code issues and access problems are considered emergencies and will be addressed immediately.
  8. When is check-in?
    Check-in time is 4:00 p.m. on the day of your arrival.
  9. Can I get an early check-in?
    Early check-ins are not allowed without prior agreement with North Georgia Vacation Rentals LLC before arrival. This is necessary to avoid interrupting guests checking out that day, and to make certain that your unit is clean and maintained before you stay. Any guest that checks in early without written permission may result in a minimum $50 per hour fee.
  10. When is check-out?
    Check-out time is 10 am on the day of your departure.
  11. Can I check out late?
    We do not accommodate late checkouts. Guests who are found in the unit past 10 am without written permission will be charged a minimum $50 late check-out fee. This is to make certain that our inspection, cleaning, and maintenance crews have full access and can get their jobs done in each unit in a timely manner. Any checkout more than 2 hours after check out will result in a fee for the entire daily rate, without any discounts, and guests will still not have rights to the property. Any guests checking out late that cause us to refund the next guests are subject to reimburse us for that amount, on top of the fees previously stated.
  12. What is your cancellation policy?
    If you cancel your reservation you will lose all monies paid to date. Please ask about purchasing travel insurance to protect yourself and your traveling party from last minute complications that would cause you to miss your trip!
